Policy Management

Your policy should govern the business — not gather dust in a binder

A policy is the CEO's promise to the organization. But if no one can find it, and no one knows what it means for their work — what is it worth? In AmpliFlow, policies connect to processes, objectives, and roles. So they become governing — not just written.

The Problem

From Word file to system

Policies in Word on the server. Old versions in email. New ones in Teams. Someone asks and no one knows where the current version is.

Word documents

Policies in the file system

  • Quality_Policy_v3_FINAL(2).docx
  • "Check the email from December"
  • "Which version is current?"
  • "I didn't know we had one"
  • No connection to processes or roles
AmpliFlow

Structured policy management

  • One version of each policy — the current one
  • Visible to the right people automatically
  • Connected to processes and roles
  • Traceability — who changed what and when
  • Organized in a clear folder structure
The Solution

Policies that live — not just sit in storage

The difference between a policy in a Word document and a policy in AmpliFlow? The connections. Here, every policy becomes part of a system — visible to the right people, linked to the right processes.

Write directly in the tool

Create policies with headings, lists, tables, and images. No Word file to keep in sync — one single source of truth.

Control who sees what

Three roles: owner, editor, viewer. Salary policy for leadership, environmental policy for everyone. Permissions inherit down the folder structure.

Find the right policy instantly

Search your policies by title. Organize in folders so employees find what they need — without asking around.

Link to processes

Connect policies to the processes they govern. Employees viewing a process see which policies apply right there.

Link to roles

Each role sees which governance documents apply to them. No one has to guess which policies they're expected to follow.

Export to PDF

Download policies for print or external parties. Custom headers and footers for professional results.

Multi-standard

Every ISO standard requires a policy

Clause 5.2 in every standard. Top management shall establish a policy, communicate it, and ensure it's available. It's not a suggestion — it's a requirement.

Your policy management

One place for all policies. Organize by standard, area, or function — the auditor sees that you're in control.

FAQ

Questions about policy management

Is there version history for policies?

Yes. You can see the full version history and compare changes between versions.

Are there approval workflows before publishing?

Yes. Configure approval workflows where documents must be approved before publishing.

Can we see who has read a policy?

Yes. Read receipts show who has read and acknowledged the document.

How does access control work?

Each policy and folder has three roles: owner (full control), editor (can edit), and viewer (read only). You grant access to individuals, teams, or everyone. Permissions inherit down the folder structure but can be overridden.

What's the difference from Documents in AmpliFlow?

It's the same underlying feature. Policies and operational documentation live in the same knowledge base. You choose how to organize — perhaps separate folders for governing policies and work instructions, or mixed by area.

Can multiple people edit the same policy simultaneously?

Collaboration happens through sharing documents with the right permissions. Changes save immediately and everyone sees the latest version.
